Create and manage a private board
Use a private board when an idea needs more space. Keep it as your own workspace, invite Participants or share controlled access with a board link.

Create a board
Every board is private from the start, so you do not need to choose a visibility setting.
- Select New board.
- Enter a Name.
- Add a Description if it will help you or your Participants.
- Choose a template. Blank is selected by default.
- Create the board and add your first sticky note.
Choose a useful starting point
Templates give your board an initial structure. You can keep changing the board as your ideas develop.

You can choose from nine backgrounds. Boards grow as you add material, but you cannot duplicate a board.
Decide who can take part
Every board has one Owner. Ownership cannot be transferred or reassigned.
A person you invite becomes a Participant after accepting. Participants can see the complete board, create sticky notes, edit and delete their own sticky notes, arrange notes, add and delete their own comments, use hearts and take part in dot voting.
Participant access starts with an email invitation. The recipient signs in or creates an account before joining. There are no separate Viewer, Editor or Commenter Participant roles.

Share controlled access with a link
If you own the board and use Club Host, Club Facilitator or Chosen Few, open Share this board and choose:
- View link to show a read-only version of the board to anyone with the link. No account is needed.
- Post link to provide the same viewing access and also let signed-in StickyNotes.club users on any plan contribute.
Link users are not Participants. A signed-in Post-link contributor can create and manage their own sticky notes, arrange notes, comment, use hearts and take part in dot voting. They cannot invite people, manage access, change board settings or edit other people’s content. Revoke a link when it should no longer work. You can still revoke an existing link after a downgrade, although links are unavailable while your plan does not include collaboration.
Anyone who receives or is forwarded an active link may be able to open the board, so share it only with people who should see the content.
Add and arrange sticky notes
Each sticky note belongs to this board only. It can contain one optional image of up to 5 MB. The image has the same audience as the board and is deleted with its sticky note.
Reorder sticky notes in a grid, or move them within and between columns. Arranging changes a note’s position, order or column; it does not change the note’s author or give permission to rewrite its content.
You can edit the text, colour, tags and due date of a sticky note you authored. The Owner can arrange or delete another author’s note, but cannot rewrite it. Use tags or visible labels when a shared meaning matters. Colour can add expression, but it has no built-in meaning for status or priority.
See when a board changed
Each board in your overview shows Last modified on YYYY/MM/DD. Successful changes to the board, its sticky notes, interactions or access update this date. Merely opening or viewing a board does not.
The date helps you understand how recent a board is. It does not automatically move the board to a different position in your overview.
Delete a board
Delete a board only when nobody needs its contents anymore. After confirmation, deletion is immediate and permanent. It deletes every sticky note, comment, heart and dot vote, removes Participant access and cancels pending invitations. Participant accounts are not deleted.
There is no Undo, trash or recovery period. You also cannot archive a whole board as an ordinary board action.
Deleting the Owner’s account permanently deletes every board that account owns. Because ownership cannot be transferred, there is no successor Owner.
Good to know
- Private means access-controlled. A Participant or link visitor can still copy information they are allowed to see.
- Authorised platform moderators and administrators may access private content only when moderation, support, security or legal work genuinely requires it.
- You cannot move or copy a Public sticky note directly into a private board.
- Opening or viewing a board does not change its content.
