Work together on a board

Invite Participants when an idea is ready for ongoing collaboration, or use a View or Post link for narrower access.

Invite a Participant

If you own a board on Club Host, Club Facilitator or Chosen Few, you can invite people by email.

  1. Open the board’s Participant or invitation controls.
  2. Enter the person’s email address.
  3. Send the invitation.

The person signs in or creates an account before gaining access. An invitation expires after 14 days. If they decline, they do not gain access and you will see Declined. You will not receive a separate email.

Use an invitation when someone should become a Participant with the complete collaboration rights described below.

If you own a board on Club Host, Club Facilitator or Chosen Few:

  1. Open Share this board.
  2. Create a View link or Post link.
  3. Copy the link and send it to the intended people.

A View link shows a read-only version of the board to anyone with the link. No account is needed. A Post link provides the same viewing access and lets a signed-in StickyNotes.club user on any plan contribute.

Link users do not become Participants. A signed-in Post-link contributor can create and manage their own sticky notes, arrange sticky notes, post and delete their own comments, use hearts and take part in dot voting. They cannot invite people, manage access, create or revoke share links, change board settings or edit other people’s content. Only the Owner can create links.

Revoke a link when it should no longer provide access. Revocation takes effect immediately and does not delete sticky notes that were already added. You can revoke an existing link after a downgrade. Existing links are unavailable while your plan does not include collaboration.

Anyone who receives or is forwarded an active link may be able to read the board. Share links only with people who should see its content.

Remove someone’s access

As the Owner, you can revoke a Participant’s access. It ends immediately, and the former Participant receives an email.

Their existing sticky notes and comments stay on the board. If they later delete their account, those contributions remain and the author is shown as Deleted user. They can permanently delete their own contributions before deleting their account.

Contribute to the board

Every invited Participant can:

  • view the complete board;
  • create sticky notes;
  • edit the text, colour, tags and due date of their own sticky notes;
  • delete their own sticky notes;
  • arrange sticky notes in the grid or move them within and between columns;
  • post and delete their own comments;
  • use private-board hearts; and
  • take part in dot voting.

Signed-in Post-link contributors have the same sticky-note, arranging, comment, heart and dot-voting capabilities while the link remains active. They do not gain Participant or board-management rights.

You cannot edit a comment after posting it, but you can delete your own comment. This leaves the sticky note and other comments in place.

Arranging is separate from editing a sticky note’s content. Someone with contribution access can change a sticky note’s position, order or column without becoming its author or gaining permission to rewrite it.

The Owner can arrange and permanently delete any sticky note on an active board, but cannot edit another author’s text, colour, tags or due date, or delete another author’s comment separately. Deleting a sticky note also deletes its comments, hearts and dot votes. It cannot be undone.

Show appreciation with a heart

Select the light heart on a private-board sticky note to turn it red and add one to the count. Select it again to remove your heart and subtract one.

Private-board hearts stay on that board. They do not add anything to the Wall of Love.

Make a decision with dot voting

The Owner starts and closes each round and chooses 1, 3, 5 or 10 dots per eligible contributor. The default is 3. Invited Participants and signed-in Post-link contributors can vote while they have access.

  • You can place no more than one dot on a sticky note.
  • You can withdraw a vote while the round is open.
  • Results stay hidden until the Owner closes the round.
  • Closed results appear as a voting-round icon and count on sticky notes that received votes.
  • A closed round cannot be reset or reopened.
  • Only the latest closed round remains available. Starting a new round permanently replaces the previous round and its results without a separate warning.

While voting is open, the board shows how many dots you have used and reminds you that results remain hidden. After the Owner closes the round, the board shows the closing date with the latest results.

Draw someone’s attention with a mention

You can mention one or more current Participants on a private board. Each mentioned person receives an email. A Post-link contributor does not become a Participant and cannot be mentioned as one.

A mention is a gentle way to draw attention. It does not assign the sticky note, change its author, give access, alter edit or deletion rights, set a due date, transfer ownership or make someone responsible. Sticky notes do not have assignees.

Know when emails are sent

StickyNotes.club keeps collaboration notifications limited to:

  • an invitation email sent immediately;
  • an access-revocation email sent immediately;
  • an email sent immediately for an explicit mention; and
  • no more than one activity digest per day, only when a board you can still access has changed.

Individual edits, comments, hearts and votes do not each produce a separate email. There is no in-product activity inbox.

Good to know

  • A workshop link goes one step further than a Post link: it lets someone take part without an account at all. See Run a workshop.
  • Board changes normally appear to everyone viewing the board within a few seconds.
  • Sticky-note text saves automatically, and simultaneous edits are never silently overwritten. See Work together in real time for saving, conflicts and connection problems.
  • StickyNotes.club keeps the current accepted version and does not provide a version history.
  • A signed-in Post-link contributor can create and manage their own sticky notes, arrange notes, comment, use hearts and take part in dot voting, but does not receive Participant or board-management rights.
